1. Who handles your information

Elemental Global Pty Ltd operates Elemental Global. For information entered by an agency about its artists, venues, staff and bookings, the agency determines why the information is collected and used. The platform provides the hosted system and processes that information to deliver the service.

2. Information collected

Depending on your role and the features used, information may include identity and contact details, agency membership, booking details, ABN and GST status, invoices, payments, bank and super fund details, uploaded documents, email delivery records, access logs and security evidence. The secure artist intake does not request a tax file number.

3. Why it is used

Information is used to authenticate users, isolate agency workspaces, manage bookings, prepare invoices and payments, calculate and record superannuation, provide exports, deliver notifications, investigate failures, secure the service and meet legal or contractual obligations.

4. Sharing and service providers

Information is disclosed only as needed to the relevant agency and its authorised users, the individual concerned, and technology, hosting, email, file-storage, accounting, banking or superannuation providers used for requested services. It may also be disclosed where required by law. Agency data is not sold for advertising.

5. Security

The service uses authenticated access, workspace-level authorisation, private storage for sensitive documents, encrypted transport, audit evidence and restricted operational access. No internet service can promise absolute security; suspected incidents are assessed and handled under applicable breach-notification requirements.

6. Retention, exports and deletion

Agencies can request an export before ending service. Personal information is retained only while needed for the service, security, disputes, contractual commitments or legal obligations. Eligible information is deleted or de-identified when no longer required. Deletion from disaster-recovery backups follows the documented backup-expiry cycle and those copies are not available for ordinary use.

7. Access and correction

Artists and venue contacts should first contact the agency that collected their details. Platform account holders can contact their agency administrator. Questions or complaints about the platform’s handling of information can be sent to the platform operator using the contact details in your service agreement.

8. Changes

Material changes will be published with a revised date. Contractual or consent changes will be presented separately where required.
